Terms for individual bookings
The terms and conditions below apply for bookings made by private persons and travel agencies, unless a special agreement has been made. Separate rules apply for group reservations for 5 Glass cabins or more. The hotel reserves the right to apply special terms and conditions that differ from these in case of public holidays, special events, seasonality or additional services requiring so.
Booking and confirmation
When booking a glass cabin your name, address, telephone number, e-mail address and method of payment are required. Please also inform us of any food allergies, dietary restrictions and medical conditions during the booking process. The hotel is entitled to apply different kinds of rules such as booking fee or credit card guarantee to secure the booking.
A booking is confirmed either automatically through our system or through separate e-mail by our staff. If you do not receive a confirmation e-mail for your booking, please contact us as soon as possible: firstname.lastname@example.org or +358 40 506 3595.
The room prices include breakfast. Beverages and extra services will be charged separately.
Online bookings must be paid in full before arrival.
Once you have completed the payment, make sure, you return to the confirmation page of your. Once you have completed the payment, make sure, you retur the confirmation page of your booking. If you do not return to this confirmation page, it is possible that the booking will not be completed. Arctic Skylight Lodge is not responsible for a failed booking. If you don’t receive the booking confirmation and the receipt by e-mail, to the email address which you have specified, you must contact Arctic Skylight Lodge as soon as possible.
Arctic Skylight Lodge accept the most common credit/debit cards. The hotel is not obliged to accept foreign currency, vouchers, checks or credit/debit cards unless the hotel has volunteered to do so.
Bookings are paid in advance either in full or in two instalments, prepayment and final invoice, depending on the booking channel. Prepayment is to be paid 14 days after the booking has been confirmed, the final payment is due 60 days prior to your stay.
Bookings made within 60 days prior to your stay the full price must be paid 14 days after the booking has been confirmed. However, if your arrival date is within 14 days of booking a booking fee may be charged from the credit card as a prepayment. This will be deducted from the final invoice. If the hotel has not made an approval for prepayment from your credit card, the hotel is entitled to require a deposit for additional services.
In case the booking has not been paid in advance it should be settled upon arrival at the hotel by cash or credit card. When booking accommodation, the hotel is entitled to approve and charge international credit cards.
When booking online the customer pays immediately the payment in full. Internet booking is paid either by credit card or through a bank service. The customer is responsible for ensuring that he will print a receipt, the description of the services and accommodation and the driving instructions, as well as the booking conditions. The reservation system will send (by reservation) the booking confirmation to the email address provided by the customer.
Cancellations must always be done in writing by e-mail to email@example.com
A cancellation becomes valid immediately when Arctic Skylight Lodge receives the information about the cancellation in writing. Should you want to change your booking, the new arrangements will constitute an entirely new booking. Leaving the invoice unpaid is not regarded as being a valid cancellation.
If we receive your cancellation notification less than 30 days prior to you arrival, we will refund 50% of the payment. If we receive your cancellation notification less than 14 days prior to your arrival, the total amount will be charged.
Arctic Skylight Lodge is not responsible for any currency discrepancy.
It is highly recommended for the customer to have a valid travel insurance in case of sudden need to cancel the booking.
Arctic Skylight Lodges’ rights to cancel the booking
Arctic Skylight Lodge reserves the rights to cancel the booking in case of Force Majeure or other reasons out of Arctic Skylight Lodges’ control, such as e.g. fire and/or water damages in the booked accommodation. In this case, we will notify you of the cancellation immediately and refund the total amount paid. Also, if customer does not pay his booking fees or other fees at an agreed date, Arctic Skylight Lodge’ has the right to cancel the booking.
Liability and liability insurance
Arctic Skylight Lodge shall exercise pro-activity, contingency, due diligence and appropriate health and safety measures in accordance with the laws and regulations of Finland and the Finnish standards of recommended practices of programme services at all times when delivering offered services under these terms and conditions.
Arctic Skylight Lodge has a General Third-Party Liability Insurance for bodily injury and property damage according to the terms and conditions of our insurance company.
Personal travel insurance is always highly recommended for any exceptional situations. Arctic Skylight Lodge is under no obligation to accept cancellations without charges for example, on the basis of a medical certificate or any other equivalent. Even in these situations, we apply the cancellation terms mentioned in our terms and conditions.
Your stay at Arctic Skylight Lodge
Check-in time is at 16.00 and check-out at 11.00.
Your glass cabin will be at your disposal from 16.00 on your arrival day till 11.00 on your departure day. For security reasons, only the staff and the persons registered at the reception may use the facilities in the glass cabins.
Visitors are not allowed in the glass cabins, please use the main building for socializing and meetings.
In case you lose the key, the personnel have the right to charge you the cost of a replacement key. (Even locks of the door will be charged in case of special serried key). A fee may be charged if you lock the key in the room after 22:00 and require a member of staff to come and let you in.
Breakfast is served from 8.00 to 10.30. Included in room price.
Dinner, a fixed 3-course menu, is served from 17.00 to 22.00. Included in room price where mentioned. Beverages are not included in room price.
We will cater to your food allergies, dietary restrictions and medical conditions if we are informed about them at least 3 days prior to your arrival. When informing us upon arrival, prior or during service about any restrictions, we may not be able to fully cater to your needs. In these cases, there will be no financial compensation or refunds paid by Arctic Skylight Lodge.
Cleaning after the check-out is included in the room rate. Although the final cleaning is included in the price, the normal housing is required meaning that furniture and other equipment are in the right place and in a good condition. Additional cleaning fee will be charged if the space is stained (e.g. vomit or bed wetting). We will charge cleaning costs, however minimum 300 €. The customer is obligated to pay to Arctic Skylight Lodge for any damages caused.
Guest behaviour and Guest’s responsibility in the hotel
At Arctic Skylight Lodge, we follow good habits and order rules. We reserve the right to break the contract and stop providing services to guests, if they are in violation of the house rules or if they disturb other guests with their behaviour. However, you must pay for the cost of your accommodation and the additional services that you have subscribed to and you cannot claim a refund for already paid services.
- Please do not touch the glass, pour water or throw any objects at the glass roof or windows.
- Don’t place any heavy object against the windows.
- Accommodation may not be used by more people than what has been registered at reception.
- Use of a tent, camper and caravan in the Lodge area is not allowed.
- Smoking is strictly prohibited in any of the buildings. If smoked in any of the buildings, we will charge cleaning costs, however minimum 300 €.
If the customer does not in spite of the notifications by Arctic Skylight Lodge stop causing disturbance or danger in the same or neighbouring premises, Arctic Skylight Lodge has the right to terminate the contract immediately and the costs of all the measures above will be invoiced to the customer.
The customer is obligated to report to Arctic Skylight Lodge immediately about any damages in the glass cabins caused by the customer and pay the cost of the damage intentionally or unintentionally caused to the property.
The customer will be responsible and charged for any unnecessary alarms caused by the customer e.g. fire alarms and the costs from them are charged from the customer.
Guest behaviour and Guest’s reponsibiliy in the surrounding nature and Ylläs in general
We value the wild nature we are surrounded with and it is there for everyone to enjoy. To keep the hotel premisis, the nature surrounding us, the national park and the whole Ylläs area vibrant and clean, it’s wildlife diverse and healthy we ask our guests to aknowledge and respect the “everyman’s right” in Finland. The freedom to roam comes with responsibilities:
- walk, ski, snowshoe or cycle in areas that are not taken into special use by the landowner (for example private gardens and agricultural fields). In the Ylläs area and the Pallas-Ylläs National Park we
- kindly ask you to stay to the marked tracks.
- pick wild berries, mushrooms and flowers, as long as they are not protected species.
- fish with a rod and line (including ice-fishing)
- row a boat or canoe on rivers and lakes
- walk on a frozen lake
You may not:
- disturb other people or damage the environment
- move around in private gardens, plantations or cultivated fields
- breack off branches, cut down or damage trees
- collect moss, lichen, soil or wood
- disturb the privacy of homes
- make an open fire on someone else’s land. There are numerous campfire places and huts to be used all over the Ylläs area and in the Pallas-Ylläs National Park.
- drive a motor vehicle off the road without the landowner’s permission. In the Ylläs area snowmobiles are allowed only on specifically marked trails.
- fish and hunt without the appropriate lisences
- litter. What you carry into nature you can carry back again.
All complaints and appeals concerning the condition of the accommodation must be presented immediately when such becomes apparent during the stay. If the faults are not taken care of during the stay, a written appeal must be done to Arctic Skylight Lodge within a week after the stay. If the customer and Arctic Skylight Lodge cannot find an agreement in the dispute, the customer can contact the consumers’ complaint board of Finland and the disputes will be settled in the District Court of Lapland. The contract is governed by The Finnish law.
Arctic Skylight Lodge is not responsible for possible harm or expenses caused by the forces of nature, insects, wild animals or unexpected weather changes causing frozen or snowy windows, or problems caused by a third party like water, electricity or internet.
Accommodation reservations are not covered by the Package Travel Act. Arctic Skylight Lodge is not responsible for printing errors nor any changes made after the printing of the brochures.
Arctic Skylight Lodge reserves the right to change the prices and to correct the errors in price information before signing a contract.
There is a free Wi-Fi connection in the Lodge area. In case of any disturbance in the internet connection, Arctic Skylight Lodge is not liable for compensation to the customer.
